OVERVIEW
The Shasta-Tehama-Trinity Joint Community College District (Shasta College) sits at the northern end of the Sacramento Valley, surrounded by mountains to the north, east, and west. DESCRIPTION OF BASIC FUNCTIONS AND RESPONSIBILITIES
The Curriculum and Instructional Scheduling Specialist implements, maintains, and evaluates curriculum, instructional schedules, and instructional-related publications and databases, including all curriculum documents, class schedules, and the college catalog. Employees in this classification receive limited supervision within a framework of standard policies and procedures. This job class provides specialized functions in collecting, evaluating, assembling, and proofing of curriculum data and information for inclusion in the college catalog and other publications and in assembling instructional schedules. This position performs complex and highly responsible technical skills requiring the use of initiative, organizational skills, problem solving abilities, and independent judgment in the organization, coordination, and processing of work and information. This job class requires strong communication skills, extensive software knowledge, and a thorough understanding of applicable state and federal regulations.

CLASSIFICATION: Range 40 on the current Classified Salary Schedule, 40 hours per week, 12 months per year. Work assignment hours are 8:00 a.m. to 5:00 p.m., Monday through Friday.

Typical Duties, Knowledge and Ability


Essential Functions:
  • Establishes and maintains curriculum records and files on all courses, data, and information related to curriculum for instructional programs and operations.
  • Processes all submitted curriculum (pre- and post-committee action).
  • Acts as primary administrator and technical liaison for District curriculum management software.
  • Reconciles and updates all curriculum management software with state inventory of courses.
  • Updates and distributes yearly curriculum due dates and calendar for Curriculum Committee information.
  • Tracks courses and programs submitted in curriculum management system to ensure compliance with review requirements; participates in Technical Review Committee, tracks Technical Review Committee comments and concerns, and makes corrections as needed and/or forwards to the appropriate faculty for action; tracks course submissions and communication with faculty/Divisions.
  • Maintains, updates, posts, and distributes documents to include Five-Year Review List, Distance Education approved courses list, and FSA/Disciplines list.
  • Provides regular notifications to divisions and other relevant stakeholders as needed, including listings of necessary course and program updates in order to comply with local and state policies and regulations and transferability requirements.
  • Prepares and tracks submissions related to curriculum for the Chancellor's Office and other organizations and serves as liaison to the Chancellor's Office and other organizations for reporting of District curriculum.
  • Identifies, enters, and maintains required data elements—such as TOP codes, CIP codes, major and program codes, SAM codes, Course Control Numbers, and other CB data elements—across multiple curriculum databases.
  • Accurately performs a full range of mathematical calculations, including but not limited to faculty load, contact hours, clock hours, and course unit values.
  • Generates, distributes, and posts Curriculum Committee agendas and meeting materials.
  • Takes minutes at Curriculum Committee and other meetings as assigned.
  • Coordinates and participates in the preparation, editing, revision, proofreading, printing, and distribution of the college catalog, all course schedules, and course schedule addendums.
  • Schedules accurately in accordance with State regulations to ensure compliance with audit standards for collection of apportionment.
  • Updates and distributes timelines for multiple schedule submissions throughout the year.
  • Provides ongoing, in-depth training and technical assistance to District staff related to the scheduling and curriculum processes.
  • Acts as information source regarding department/office policies and procedures, as well as curriculum and course scheduling requirements; provides information where judgment, knowledge, and interpretation of established procedures/policies are required.
  • Interprets attendance accounting rules and regulations for a variety of special academic programs.
  • Receives, reviews, and verifies documents, records, and forms for accuracy, completeness, and conformance to applicable rules, regulations, policies, and procedures.
  • Interprets and explains curriculum and scheduling rules, Title 5 regulations, and other state requirements and restrictions.
  • Works with Enrollment Services in investigating and resolving registration problems.
  • Troubleshoots issues relating to course scheduling, faculty loads, data entry, computer database errors, and MIS reporting.
  • Learns and maintains currency with complex software and applications related to curriculum and scheduling.
  • Maintains files and assists in the preparation of reports related to accreditation.
  • Processes a wide variety of documents such as inter-office communications, requisitions, forms, letters, reports, statistics, and specifications from rough draft or verbal instructions and independently composes correspondence.
  • Develops or assists in the development of forms, worksheets, and record keeping systems for the collection, dissemination, and maintenance of needed information.
  • Provides input for system and process improvement to appropriate administrators.
  • Participates in statewide training to increase understanding of curriculum and instructional scheduling best practices.
  • Performs other related duties similar to the above in scope and function.
Knowledge of:
  • Rules and regulations, policies and procedures governing community college districts, including Title 5, the Student Attendance Accounting Manual, and the Program and Course Approval Handbook (PCAH)
  • Computer software and usage and dedicated computerized systems

  • Establish and maintain effective working relationships with those contacted in the performance of required duties.
  • Accurately type at a rate required for successful job performance.
  • Accurately perform mathematical calculations.
  • Work effectively with people from diverse age, gender, race, ethnicity, religious, ability, sexual orientation, and/or job type groups.


Experience/Education


Education Required:
  • Associate's degree or equivalent combination of training and education
Education Preferred:
  • Bachelor's degree, or equivalent
Experience Required:
  • Three years of increasingly responsible technical/clerical experience, preferably in an educational setting.
Experience Preferred:
  • At least one year prior experience with instruction or student services in a community college setting.
